Job Description:
Job Overview:
The MYP Librarian is responsible for the effective day-to-day operation, organization, and administration of the library. The role ensures that library resources, facilities, circulation services, and student support are well managed and accessible, while providing operational support to the Teacher Librarian in delivering library services and initiatives.
Responsibilities:
Library Organization & Operations:
- Maintain a well-organized, welcoming, and visually appealing library environment that supports student learning and reading.
- Ensure books and other library resources are accurately sorted, shelved, and maintained according to established classification and call number systems.
- Monitor the overall condition, organization, and accessibility of library resources and facilities.
- Ensure library procedures and daily operations are carried out efficiently and consistently.
Library Management System:
- Register new students and teachers and maintain accurate borrower profiles in the Follett library management system.
- Maintain accurate circulation records, including loans, returns, renewals, reservations, and overdue items.
- Assist students and teachers in locating books, library resources, and materials available through online platforms and databases.
- Maintain accurate library records and generate reports when required.
Circulation & Resource Inspection:
- Manage the daily check-in and check-out of books and other library resources efficiently.
- Inspect the condition of resources before and after circulation and identify damaged or missing items.
- Coordinate the repair, replacement, or appropriate follow-up of damaged resources.
- Monitor overdue, lost, and damaged items and communicate with borrowers regarding outstanding items.
- Conduct Library Annual Inventory report to verify the library’s collection, identify missing or damaged resources, update records, and ensure that all materials are properly accounted for and available for students and staff.
Resource Acquisition Support:
- Support the Teacher Librarian in the acquisition of print and electronic resources.
- Check resource availability and pricing, calculate costs, and prepare order forms and related documentation for approval.
- Follow up on orders, deliveries, and outstanding resources as required.
- Assist the TL with maintaining accurate records of new and existing resources.
Cataloguing & Resource Processing:
- Receive, catalog, label, cover, and process new resources for inclusion in the library collection.
- Ensure cataloguing and classification information is accurate and up to date.
- Maintain consistent labeling, barcoding, and processing of library materials.
- Assist the TL with routine collection maintenance, including identifying damaged, outdated, or missing resources.
Student & Teacher Support:
- Provide professional and responsive assistance to students and teachers using the library.
- Respond to inquiries at the library counter, via email, or by telephone.
- Assist users in locating and accessing appropriate library resources.
- Provide basic guidance on the use of the library management system and available library resources.
- Promote a positive, respectful, and student-centered library environment.
Events & Library Activities:
- Support the Teacher Librarian in planning and organizing library activities and events, including book fairs, author visits, reading clubs, and literacy-related activities.
- Coordinate the operational arrangements for library events, including room preparation, resources, displays, scheduling, and communication as required.
- Collaborate with relevant school departments to support library and school-wide events.
Displays & Library Promotion:
- Assist the Teacher Librarian in preparing attractive and relevant book displays and promotional materials.
- Maintain library displays, signage, and informational materials to promote resources, reading, and library activities.
- Ensure displays and promotional materials are kept current and visually appealing.
Student Supervision & Library Environment:
- Supervise students in the library when required and maintain a safe, orderly, and conducive learning environment.
- Monitor student behavior and ensure compliance with library procedures and expectations.
- Provide assistance to students using the library during designated library hours.
Fines, Lost & Damaged Resources:
- Manage the administration and records of fines, lost resources, and damaged items in accordance with school library procedures.
- Communicate with students, teachers, and relevant staff regarding outstanding items and related matters.
- Maintain accurate records and provide regular updates to the Teacher Librarian when required.
Support to the Teacher Librarian:
- Provide day-to-day operational support to the Teacher Librarian in the management of library services and activities.
- Assist with the implementation of library programs, procedures, and initiatives established by the Teacher Librarian.
- Prepare operational information, records, and reports as requested by the Teacher Librarian.
- Carry out other library-related duties and responsibilities as assigned by the Teacher Librarian
Job Requirement:
Education
– Bachelor’s degree in Library Science, Education, or a related field preferred.
Specialized requirements
– 2–3 years of relevant library experience, preferably in a school or international school environment.
– Experience with library management systems; Follett experience is an advantage.
– Good knowledge of library organization, cataloguing, classification, circulation, and resource management.
– Strong organizational, administrative, and attention-to-detail skills.
– Good English communication and interpersonal skills.
– Proficient in standard office and library management software.
– Ability to work independently while supporting the direction of the Teacher Librarian.
