[SNA IB HCMC] EXECUTIVE ASSISTANT TO HEAD OF SCHOOL
Job Description:
1. Executive & Administrative Assistance
- Provide comprehensive administrative and executive support to the Head of School.
- Manage the HoS’s calendar, appointments, meetings, and priorities to ensure efficient scheduling and time management.
- Prepare, draft, edit, and organize correspondence, reports, presentations, meeting minutes, and other official documents.
- Handle confidential and sensitive information with a high level of discretion and professionalism.
- Receive and review incoming communications, determine priority levels, and summarize or distribute information appropriately.
- Support the completion and coordination of monthly Board reports and related documentation.
2. Communication & Translation
- Provide translation and interpretation support for the Head of School as required.
- Facilitate effective internal communication between the HoS and various departments across the school.
- Assist in preparing announcements, presentations, and communication materials for internal and external stakeholders.
3. Event & Travel Coordination
- Coordinate and support events, meetings, and activities related to the Head of School.
- Arrange travel itineraries, accommodations, transportation, and related logistics for the HoS and assigned leadership staff.
- Ensure all event and travel arrangements are organized efficiently and professionally.
4. Operational & Strategic Support
- Support the implementation of strategic initiatives that contribute to school culture, operational excellence, and organizational success.
- Identify opportunities to improve operational efficiency and recommend practical solutions to streamline processes.
- Review existing administrative procedures and recommend enhancements to policies and workflows where appropriate.
- Assist in troubleshooting operational and administrative issues as they arise.
5. School Event Coordination
- Coordinate and oversee events and activities related to the wider school community.
- Collaborate with Operations, Marketing, and other relevant departments to coordinate venues, logistics, equipment, catering, promotional activities, and event scheduling.
- Oversee event execution, including setup, registration, program flow, and on-site coordination to ensure smooth and successful delivery.
- Support community engagement initiatives by encouraging participation and fostering a positive and inclusive school culture through events and activities.
- Ensure all events and activities comply with school policies, procedures, and operational requirements.
6. Additional Responsibilities
- Collaborate with internal departments and external stakeholders to support school operations and leadership initiatives.
- Perform other administrative, operational, or project-based duties as assigned by the Head of School.
Job Requirement:
Education:
– Bachelor’s degree or higher in Business Administration, English, Education, or a related field preferred.
Specialized requirements:
– Minimum of 3 years of experience in executive assistance, or administrative coordination roles, candidates with experience at international schools are preferred.
– Excellent written and verbal communication skills in English and Vietnamese.
– Strong translation and interpretation skills are highly preferred.
– Exceptional organizational, multitasking, and time-management abilities.
– High level of professionalism, discretion, and attention to detail.
– Proficiency in Microsoft Office Suite and Google Workspace applications.
– Ability to work independently, prioritize tasks effectively, and manage multiple deadlines.
– Strong interpersonal skills with the ability to interact professionally with diverse stakeholders.
